Job Overview
We are seeking a highly organized and proactive Office Coordinator Assistant to support the daily operations of our office. The ideal candidate will possess strong communication and organizational skills, along with experience in clerical/reception duties. This position offers an opportunity to contribute to a dynamic team environment while developing professional skills in administrative and office operations.
Responsibilities That job entails doing patient scheduling, insurance verifications, processing referrals etc.
Some of the job duties include:
- Manage front desk operations including multi-line phone systems
- Greeting patients timely in a friendly and professional manner.
- Patient registration. Record new client information in computer.
- Scheduling patient appointments.
- Checking in patients.
- Verify insurance eligibility and benefits when referrals are received.
- Collect any co-insurance/copays.
- Perform daily patient confirmation calls. Make sure to remind patient if they have any deductible/coinsurance payment due at the appointment.
- Scan Technologists worksheets and orders into appropriate computer programs.
- Fax completed reports to referring physicians.
- Maintenance of health records including filing and storage at the direction and oversight of the Site Director.
- Performance of all front desk duties during regular clinic hours.
- Ensure all entered information in in charts for all patients are recorded in computer programs, including any updated changes to address and phone numbers.
- Handling of money, mail, receipts, recording of monies received, and petty cash.
- Ordering of ultrasound and office supplies, postage, and products as directed.
- Keeping work area, reception area, waiting/lobby area, and bathrooms tidy and clean and stocked.
- Assist technologists, radiologists, and office coordinator as needed.
- Assist with occasional special event planning
- Support office management tasks as needed
Skills
- Clerical or medical office experience preferred
- Ability to coordinate multiple projects simultaneously
- Proficiency in MS Office Suite (Word, Excel, Outlook) (or the like)
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Exceptional organizational skills with attention to detail in filing, record keeping, and scheduling
- Familiarity with front desk operations and multi-line phone systems
- Ability to adapt quickly to changing priorities in a very fast-paced environment

Job Type: Full-time
Pay: $17.00 - $21.00 per hour
