Office Coordinator (The "Air Traffic Controller")

Role Overview: As the Office Coordinator, you are the central hub of our operations—the "Air Traffic Controller" who ensures everything flies smoothly without any mid-air collisions. Your primary mission is to protect our leadership team from distractions by mastering the "Gate." You aren't just answering phones; you are the guardian of the brand, the first impression for every client, and the engine behind our marketing and scheduling consistency.

Primary Responsibilities

1. The Gatekeeper (Customer Experience & Intake) You are the primary filter for all incoming communication. You ensure that only qualified, prepared leads reach our project leads, allowing them to focus on high-level execution.

  • Provide world-class phone etiquette and immediate responsiveness.
  • Filter and qualify leads to ensure a seamless handoff.
  • Administer the intake process, ensuring all documentation (JotForms) is 100% complete before any site visits occur.

2. Brand Ambassador (Marketing & Social Media) You maintain our digital "storefront." By keeping our social presence active, you provide the "social proof" our sales team needs to close deals.

  • Execute a consistent posting schedule across Facebook, TikTok, and Google.
  • Manage the digital asset library, ensuring "Before & After" photos are harvested and organized immediately following project completion.

3. Logistics Liaison (Scheduling Support) You bridge the gap between our production team and our customers, ensuring no client ever feels "forgotten" during the waiting period.

  • Update and maintain the "Communication Promises" tracker for Project Managers.
  • Proactively confirm project timelines with customers to eliminate scheduling anxiety.

Job Types: Full-time, Part-time

Pay: $40,000.00 - $55,000.00 per year

Expected hours: 40.0 per week
