Office / Customer Support (Admin + QuickBooks)

Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of our front office. The ideal candidate will possess strong communication skills, proficiency with office management tools, and the ability to handle multiple responsibilities efficiently. Previous office or clerical experience, along with familiarity with medical or dental reception duties, is highly valued. Bilingual abilities are a plus to serve our diverse client base.

Responsibilities

  • Greet visitors and clients warmly, providing excellent customer service at all times
  • Manage multi-line phone systems, directing calls appropriately and taking accurate messages
  • Schedule appointments and manage calendar or appointment systems using tools like Google Workspace or Microsoft Office
  • Perform data entry, filing, and maintain organized records for easy retrieval
  • Handle incoming and outgoing correspondence via email and postal mail
  • Use QuickBooks or bookkeeping software for basic financial record keeping when necessary
  • Assist with administrative tasks such as proofreading documents, managing office supplies, and supporting office management activities
  • Maintain a professional reception area, ensuring cleanliness and organization
  • Support other administrative duties including calendar management, appointment confirmations, and customer support

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy and data entry skills with excellent typing speed and accuracy
  • Experience with multi-line phone systems and phone etiquette
  • Knowledge of QuickBooks or bookkeeping software a MUST
  • Bilingual abilities to communicate effectively with diverse clients are advantageous
  • Excellent organizational skills with attention to detail and time management capabilities
  • Previous office management or clerical experience preferred; experience as a medical or dental receptionist is a plus
  • Strong customer service orientation with professional communication skills both in person and over the phone
  • Ability to handle multiple tasks efficiently while maintaining professionalism under pressure
  • Proofreading skills for document accuracy and clarity
