Office & Event Assistant

Are you passionate about weddings and eager to make a difference? Aspen & Ivy is excited to welcome a dynamic individual to our team as a Part-Time Marketing Manager & Event Admin! In this role, you’ll have the opportunity to engage in a variety of marketing, administrative, and event planning tasks that will contribute to unforgettable wedding experiences.

As part of our team, you’ll support our owner in a range of tasks, from pre-planning events to managing marketing initiatives. Your contributions will ensure that every bride, groom, and couple enjoys a seamless journey with Aspen & Ivy while helping to enhance our company’s visibility and success.

Key Responsibilities:Event Planning Support

  • Assist with vendor communication, contract coordination, and pricing inquiries
  • Conduct research on venues, invitations, transportation, and accommodations
  • Support the creation of timelines, processional order, and planning logistics
  • Help coordinate pre- and post-wedding events (rehearsal dinners, brunches)
  • Prepare welcome bags and other guest-focused amenities

On-Site Event Assistance

  • Greet and guide guests and vendors throughout the event day
  • Assist in event setup and teardown (tables, décor, signage, etc.)
  • Ensure timelines are followed and the couple’s needs are met
  • Serve as on-site support to the lead event planner

Marketing & Social Media

  • Manage social media platforms including Instagram, Facebook, and blogging
  • Develop and maintain a social media calendar and marketing strategy
  • Coordinate styled shoots and collaborate with local vendors
  • Submit events for publication and manage online advertising listings
  • Update the company website and create marketing collateral (flyers, brochures, proposals)

Administrative Support

  • Onboard new clients and manage their profiles within our CRM system
  • Upload contracts, diagrams, and event details
  • Maintain up-to-date marketing materials, brochures, and templates
  • Send thank-you cards to clients and vendors post-event
  • Support general administrative functions and client communication

What We're Looking For:Required Skills & Qualifications:

  • 1+ year of experience in marketing or any service industry is required; 1+ years in the wedding industry preferred.
  • Strong organizational skills with the ability to multi-task
  • Positive attitude, ability to work well in a team environment and individually
  • Working knowledge of office equipment, like printers
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Experience in Canva and other social media programs.
  • Excellent time management skills and the ability to prioritize work
  • Ability to manage events from start to finish while providing excellent customer service and staying organized.
  • Meet client needs to ensure satisfaction, and oversee all aspects of the wedding day.
  • Adhere to insurance, legal, health, and safety requirements.
  • Handle issues proactively and troubleshoot problems that arise on the wedding day.
  • Manage time and projects effectively.
  • Excellent professional written and verbal communication
  • Self motivated, outgoing “people person” personality
  • Ability to follow directions and planning processes exactly as directed by owner
  • Ability to take initiative on planning tasks

Physical & Availability Requirements:

  • Must have a valid driver’s license and personal vehicle
  • Willingness to travel to events across Colorado (including mountain venues)
  • Availability to work weekends, early mornings, late nights, and some holidays
  • Able to lift up to 40 lbs and work on your feet for extended periods

Bonus Qualifications:

  • Prior experience in the wedding or events industry
  • Design skills or marketing background
  • Familiarity with Canva, website management, or social media scheduling tools

Job Types: Part-time, Temporary

Pay: $15.00 per hour

Expected hours: 8 – 10 per week
