Job Summary
We are seeking a highly organized and proactive Office Executive to oversee daily administrative operations and support our team. The ideal candidate will possess strong communication, organizational, and management skills to ensure the smooth functioning of our office environment. This role involves coordinating various administrative tasks, managing schedules, supervising staff, and maintaining efficient office procedures to foster a productive workplace.
Responsibilities
- Manage daily office operations, including front desk duties and multi-line phone systems
- Oversee scheduling management for meetings, appointments, and events
- Supervise administrative staff and coordinate training & development initiatives
- Handle vendor management, including liaising with suppliers and service providers
- Maintain accurate bookkeeping, payroll processing, and budgeting activities using QuickBooks or similar software
- Assist with human resources functions such as onboarding, employee records management, and compliance
- Organize filing systems and ensure proper documentation for medical office or general administrative needs
- Support event planning activities for corporate or community events
- Ensure effective communication across departments through phone etiquette and clear correspondence
- Manage calendar updates and facilitate efficient time management for executives and teams
Skills
- Proven experience in office management, clerical work, or administrative roles
- Strong organizational skills with the ability to multitask efficiently
- Excellent communication skills, both verbal and written
- Proficiency in QuickBooks, calendar management software, and multi-line phone systems
- Experience in vendor management, budgeting, bookkeeping, and payroll processing
- Supervising experience with team management capabilities
- Knowledge of human resources procedures and medical office management (preferred)
- Event planning expertise is a plus
- Ability to handle front desk responsibilities with professionalism and courtesy
- Strong training & development skills to foster team growth
- Exceptional phone etiquette and customer service orientation
