Job Overview
We are seeking a highly organized and proactive Office Executive to oversee daily administrative operations and support our team. The ideal candidate will possess strong communication, organizational, and management skills to ensure the smooth functioning of our office environment. This role requires a versatile individual capable of handling a variety of tasks including office management, vendor relations, and team coordination. Experience in medical office management, bookkeeping, and human resources is preferred but not mandatory. The Office Executive will play a key role in maintaining efficient workflows and fostering a professional office atmosphere.
Duties
- Manage calendar scheduling and coordinate appointments for staff and executives
- Oversee office operations, including front desk responsibilities and multi-line phone systems
- Handle vendor management, including negotiations and maintaining supplier relationships
- Supervise administrative staff and coordinate training & development programs
- Maintain accurate bookkeeping, payroll processing, and budgeting records using QuickBooks or similar software
- Organize meetings, prepare agendas, and document minutes to ensure effective communication
- Oversee filing systems, document management, and record keeping for compliance purposes
- Assist with human resources functions such as onboarding new employees and managing employee records
- Support event planning activities for company functions or client meetings
- Ensure office supplies are stocked and equipment is maintained in optimal condition
- Uphold professional phone etiquette and provide excellent customer service at the front desk
Experience
- Prior experience in office management or administrative roles is required; experience in medical office management is a plus
- Supervising experience with team management responsibilities preferred
- Proficiency with QuickBooks, calendar management tools, and MS Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills—both verbal and written—are essential
- Experience with event planning, vendor relations, payroll processing, budgeting, bookkeeping, and human resources functions is highly desirable
- Demonstrated ability to handle clerical tasks such as filing, data entry, and managing multi-line phone systems with professionalism
