An engineering company is looking for an Office & Executive Assistant to provide office and executive support in Ankara. This role plays a key part in supporting executive-level work while also ensuring the smooth and efficient daily operations of the office. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable handling both executive and administrative responsibilities.


Key Responsibilities:


Executive Support

  • Provide comprehensive personal and professional support to the executive, ensuring daily priorities are handled smoothly.
  • Support personal arrangements (appointments, bookings, reminders, and similar tasks) with a high level of confidentiality and accuracy.
  • Manage travel arrangements for the executive, including flight and hotel bookings, visa applications, airport transfers.
  • Coordinate meetings, appointments, and schedules, and ensure all necessary arrangements are completed in advance.
  • Prepare reports, presentations, and documents as requested by the executive.
  • Prepare and regularly update expense sheets, track executive expenses, and ensure proper documentation.
  • Provide English–Turkish and Turkish–English translation support.


Office Administration:

  • Answer and direct phone calls, manage messages and support daily office communication.
  • Welcome visitors, answer questions, and guide them to the correct person or department.
  • Keep office files, records, and documents organized and up to date.
  • Arrange meetings and support local and international events, including meal plans when needed.
  • Organize office travel such as flight and hotel bookings, visa applications, and airport transfers.
  • Take care of office equipment like printers and scanners and report maintenance needs.
  • Ensure the office is clean and tidy and coordinate with cleaning staff.
  • Check office supplies, manage stock, and handle purchasing requests.
  • Support internal communication by sharing office announcements and updates.


Requirements

  • Bachelor’s or Associate Degree in a relevant field or at least 2 years of relevant experience.
  • Fluency in English (written and spoken);
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent communication and interpersonal skills.
  • Strong proficiency in MS Office programs, with advanced knowledge of Excel.
  • Proactive, detail-oriented, and solution-oriented mindset.
  • Ability to handle responsibilities independently.
