We are hiring a highly organized, proactive
Office & Fleet Coordinator
to help keep our operations running smoothly — from executive support to fleet compliance and equipment tracking.
This is a
part-time, morning position
with strong potential to transition into a full-time long-term role.
Job Description
What You’ll Own
This position plays a critical role in maintaining organization, compliance, and operational efficiency across the company.
Office & Administrative Coordination

Maintain organized digital and physical filing systems

Manage incoming calls and professional email communication
-
Prepare reports, correspondence, meeting notes, and documentation
-
Support senior management with documentation and follow-ups
-
Maintain structured records and ensure document accuracy
-
Assist in maintaining internal systems and documentation processes
Fleet & Equipment Coordination
-
Track vehicle registrations, renewals, and compliance deadlines
-
Maintain fleet files (titles, registrations, insurance, maintenance records)
-
Coordinate vehicle maintenance scheduling and vendor communication
-
Monitor service intervals and maintain maintenance logs
-
Track BIT inspections and required compliance documentation
-
Assist with fuel card tracking and reporting
-
Prepare and review Shop & Fleet Purchase Orders and related invoices

Provide organized fleet status updates to management
Qualifications
What We’re Looking For
-
2–5 years of administrative, office coordination, or fleet support experience
-
Construction or fleet management experience strongly preferred
-
Strong proficiency in Microsoft Office (especially Excel)

Comfortable with Google Workspace tools
-
Highly organized with strong attention to detail

Clear, professional written and verbal communication skills

Ability to prioritize and manage multiple deadlines
-
Self-starter who works independently without constant direction
-
Comfortable working in a fast-paced, growth-oriented environment

Authorized to work in the United States
-
18+ years of age
Bonus Qualifications

Experience with fleet management software

Bilingual English/Spanish
