Overview
We are seeking a dynamic and highly organized Administrative Support professional to join our team! Duties
- Prepare, review, and proofread client proposals, reports, and correspondence with accuracy and attention to detail
- Handle incoming calls using multi-line phone systems with professionalism and excellent phone etiquette
- Maintain organized filing systems both digitally (using Google Workspace and Microsoft Office) and physically for easy retrieval of documents
- Support bookkeeping activities including data entry in QuickBooks and tracking expenses or invoices as needed. Enter AIA PAY APP & PROCURE SOFTWARE.
- Assist with front desk duties such as greeting visitors, managing office supplies, and supporting daily operations
- Provide exceptional customer support by addressing inquiries promptly and maintaining positive communication with clients and team members and project management.
Requirements
- Proven office management or administrative experience with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills combined with high computer literacy for data entry and document preparation
- Experience using multi-line phone systems and demonstrating professional phone etiquette
- Bilingual abilities are a plus to support diverse client needs
- Knowledge of bookkeeping software such as QuickBooks is desirable but not mandatory
- Personal assistant or calendar management experience is highly valued
- Exceptional attention to detail with proofreading skills to ensure accuracy in all documents
- Ability to manage time efficiently in a fast-paced environment while maintaining a positive attitude
