📢 We are looking for a proactive and highly organized Executive Assistant to support our General Manager. This role is key to ensuring smooth day-to-day operations, providing high-level administrative and organizational support, and acting as a communication bridge between the General Manager and internal and external contacts.

Key Responsibilities for Management Assistancy

Manage and prioritize the General Manager’s calendar, schedule meetings, and coordinate travel and accommodation arrangements.

Prepare presentations, reports, and correspondence; draft and review documents with high attention to detail and confidentiality.

Organize and follow up on all meetings attended by the General Manager, including agenda preparation, minutes, and action tracking.

Serve as a liaison between the General Manager and internal teams and external business partners.

Ensure timely information flow and support decision-making by providing accurate data and summaries.

Coordinate events, conferences, and visits as needed.

Handle expense reports, budget tracking, and procurement requests related to the General Manager’s office.

Key Responsibilities for Office Assistancy

Work closely with the Procurement team to regularly track and ensure the timely provision of the office’s essential needs (cleaning consumables, kitchen items, etc.)

Receive incoming parcels, record them, and promptly route them to the relevant person/department

Package outbound items for customers, third parties, and other stakeholders; create shipments and track deliveries

Coordinate with teams for corporate events to prepare the required materials (printed documents, promotional items, gift sets, etc.) and organize their dispatch

Before meetings, check and prepare meeting rooms, ensuring order and the availability of technical equipment and materials

Procure and serve refreshments such as water, coffee, and similar items in a timely manner

Focus on general assistancy, office management, and event support; provide on-site assistance during corporate events, ensuring smooth coordination and operational efficiency.
Qualifications & Skills

Bachelor’s degree in Business Administration, Office Management, or related field.

Minimum 3–5 years of experience as an Executive Assistant, preferably supporting C-level executives.

Excellent written and spoken English and Turkish (other languages are a plus).

Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams or SharePoint.

Outstanding organizational, multitasking, and time-management skills.

Strong communication and interpersonal abilities with a professional and discreet approach.
