Job Summary
Budget Blinds of Mansfield seeks a highly organized, customer-focused Office Manager to be the operational backbone of our growing business. You will be our clients' first point of contact, the master of our schedule, and the essential force that keeps the office and showroom running efficiently.
This role is for a proactive, multitasking go-getter with outstanding attention to detail and a passion for exceeding customer expectations. We provide all necessary tools and training; we ask that you bring a positive attitude and drive daily!
Key Responsibilities
As the Office Manager, your focus will heavily involve big-picture organizational and administrative tasks. The role involves overseeing and managing the office. Maintain office services by organizing office operations and procedures, prioritizing and maintaining workloads and schedules, controlling correspondence with customers and vendors, designing filing systems, establishing streamlined processes of office/administrative systems, and monitoring clerical functions and the general direction of all office factors.
- Client Communications Hub: Serve as the primary point of contact for all incoming calls. Manage client communications via phone, text (Podium), and TouchPoint CRM, logging all details accurately and immediately. Plan, organize, and manage the direction of all customer communications.
- Scheduling & Logistics: Manage the company calendar and efficiently schedule all consultations, installations, and service calls. Proactively monitor routes and schedules, providing immediate communication for any delays or conflicts to clients and staff.
- Order Status Management: Consistently track client orders via vendor sites and TouchPoint. Provide timely, proactive updates to clients—upon order placement, halfway to the expected ship date, sooner if there are delays/issues, and upon product arrival.
- Office Efficiency & Showroom Readiness: Oversee day-to-day office operations. Maintain a clean, organized, and showroom-ready environment. Manage office supply inventory, check in product deliveries, greet guests, and perform various administrative tasks (filing, typing, emailing, etc.).
- Team Support: Help maintain client databases and files, process vendor payments and manage vendor portals, and support the sales and installation teams as needed (e.g., attending occasional home shows or events, delivering parts or support to installers).
- Other: Create and manage administrative systems for maximum efficiency. Bank deposits. Maintaining inventory of office/showroom supplies. Track client billings, proposals, contracts, and orders. Provide support and input into the company's marketing approach. Processes order remakes quickly and productively as needed.
Qualifications
- Experience: Minimum of 2 years of experience in office administration, assistant, or a related field preferred.
- Tech Proficiency: Proven experience with digital operations, including multi-line phone systems, CRM software, and calendar management.
- Education: A high school diploma or GED is required.
- Key Traits: Exceptional attention to detail, strong organizational skills, clear communication, adaptability, and an insistence on punctuality ("If you're early, you're on time and if you’re on time, you’re late"). Must exceed expectations.
