Job Summary
We are seeking an energetic and highly organized Office Manager to lead the daily operations of our dynamic office environment. This pivotal role ensures seamless administrative functions, effective team supervision, and efficient office management. Duties
- Oversee daily office operations to ensure a productive and welcoming environment for staff and visitors
- Manage scheduling, calendar coordination, and appointment setting for leadership and team members
- Supervise administrative staff, providing training, guidance, and performance feedback to foster team growth
- Coordinate vendor relationships, including service providers, suppliers, and contractors to ensure smooth operations
- Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and financial reporting
- Manage payroll processing in collaboration with human resources to ensure timely and accurate employee compensation
- Organize company events, meetings, and training sessions to promote team engagement and professional development
- Maintain filing systems—both physical and digital—and ensure confidentiality of sensitive information
- Oversee front desk responsibilities including multi-line phone systems, phone etiquette, and visitor management
- Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting HR initiatives
Requirements
- Proven experience in office management or administrative roles within a professional setting
- Supervising experience with demonstrated leadership capabilities
- Proficiency in QuickBooks or comparable bookkeeping software
- Strong schedule management skills with the ability to prioritize multiple tasks effectively
- Experience managing vendors and coordinating service contracts or supplies
- Knowledge of payroll processing and human resources procedures
- Familiarity with medical office management or healthcare environments is a plus
- Excellent communication skills—both verbal and written—along with professional phone etiquette
- Exceptional organizational skills with keen attention to detail in filing, record keeping, and calendar management
- Ability to handle clerical tasks efficiently while maintaining a positive attitude in a busy office setting
- Experience with event planning and training & development activities is desirable
