Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office in Long Beach. This role is essential in ensuring smooth administrative workflows, maintaining a welcoming front desk, managing schedules, coordinating vendor relationships, and supporting team members across various departments. The ideal candidate will bring energy, excellent communication skills, and a proactive approach to office management, fostering an efficient and positive workplace atmosphere. Skills and Duties:

  • Manage calendar scheduling for executives and team members, coordinating meetings, and appointments.
  • Supervise administrative staff and coordinate training & development initiatives to enhance team performance
  • Handle vendor management by negotiating contracts, processing invoices, and maintaining strong relationships with service providers
  • Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with payroll processing using QuickBooks or similar accounting software
  • Oversee bookkeeping tasks including filing expenses, tracking budgets, and ensuring accurate recordkeeping for office supplies and financial transactions
  • Organize company events, meetings, and team-building activities to promote engagement and foster a collaborative environment

Requirements and experience:

  • Proven experience in office management or administrative roles with supervisory responsibilities
  • Strong organizational skills with the ability to manage multiple priorities efficiently
  • Excellent communication skills—both verbal and written—with attention to professional phone etiquette
  • Proficiency in QuickBooks for bookkeeping and payroll tasks; experience with medical office management is a plus
  • Microsoft office: 1 year
  • Dentrix- preferred not required
  • Billing experience
  • Back office experience- preferred
  • Administration requirements: 1 year preferred
  • Knowledge of human resources procedures including onboarding, training & development programs
  • Experience with clerical tasks such as filing systems, front desk operations, and multi-line phone systems
  • Ability to supervise staff effectively while fostering a positive team environment
