Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy psychiatric office. This vital role ensures smooth administrative workflows, effective team coordination, and seamless communication across telehealth platform and in person environments . The ideal candidate will thrive in a fast-paced setting, demonstrating exceptional organizational skills, proactive problem-solving, and a passion for creating an efficient workplace. As an Office Manager, you will play a key role in fostering a positive office culture while managing essential administrative functions to support our team’s success.

Duties

  • Oversee daily office operations, including front desk management and multi-line phone systems to ensure professional and courteous communication.
  • Manage schedule coordination for meetings, appointments, and company events, ensuring all logistics are handled efficiently.
  • Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
  • Handle vendor management by negotiating contracts, processing requests.
  • Oversee human resources functions such as onboarding new employees, maintaining personnel records.
  • Maintain accurate bookkeeping records, manage filing systems, and ensure compliance with office policies and procedures.
  • Organize company events and meetings to promote team engagement and foster a collaborative work environment.
  • Support medical office management tasks if applicable, including appointment scheduling and patient record organization.

Skills

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Demonstrated supervising experience with the ability to lead and motivate a team effectively.
  • Proficiency in Microsoft products.
  • Excellent schedule management skills to coordinate multiple calendars and deadlines efficiently.
  • Strong community outreach skills.
  • Knowledge of human resources practices including onboarding, training & development, and employee relations.
  • Experience with claim processing, collections, filing systems, and front desk operations to ensure organizational efficiency.
  • Exceptional communication skills paired with professional phone etiquette for interacting with clients and staff alike.
  • Organizational skills that enable multitasking across various administrative functions seamlessly.
  • Familiarity with medical office management processes if relevant to the role’s scope.

Job Type: Full-time

Pay: $18.00 - $23.00 per hour

Expected hours: 30 per week
