Our small, collaborative team takes pride in delivering high-quality engineering solutions, and we're looking for an organized, detail-oriented Office Manager to keep our operations running smoothly.
Position Summary
The Office Manager will serve as the administrative backbone of our firm, overseeing day-to-day office operations including financial processing, supply management, and front-office communications. This role is ideal for a self-starter who thrives in a small-team environment and enjoys wearing many hats.
Key Responsibilities

Prepare and submit client invoices; track outstanding balances and follow up on payments

Process accounts payable, including vendor invoices, expense reports, and check runs

Manage office supply inventory, place orders, and maintain relationships with vendors

Answer and direct incoming phone calls in a professional and friendly manner

Maintain organized filing systems for financial records, project documents, and correspondence

Assist with general administrative tasks such as scheduling, mail distribution, and office maintenance coordination

Support project managers and engineers with administrative needs as they arise

Help ensure compliance with record-keeping requirements for a professional engineering firm
Qualifications

2+ years of experience in office management, bookkeeping, or administrative support

Proficiency in Microsoft Office Suite; experience with accounting software (e.g., QuickBooks) preferred

Strong organizational skills with excellent attention to detail

Effective written and verbal communication skills

Ability to manage multiple priorities independently in a fast-paced, small-office setting

Experience in an engineering, architecture, or professional services firm is a plus but not required
