Job Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating schedules, and ensuring smooth office workflows. Duties

  • Manage day-to-day office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professionalism and courtesy

Oversee calendar management and schedule coordination for meetings, appointments, and company events

  • Supervise administrative staff, providing training and development opportunities to foster a high-performing team
  • Responding to emails.
  • Coordinate vendor management activities, including negotiating contracts and ensuring timely delivery of supplies and services
  • Handle bookkeeping and basic accounting tasks using QuickBooks or similar software to maintain accurate financial records
  • Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes
  • Organize company events, meetings, and training sessions to promote team engagement and professional growth
  • Maintain filing systems, manage office supplies inventory, and ensure compliance with office policies and procedures

Requirements

  • Proven experience in office management or administrative roles within a professional setting
  • Strong supervisory experience with the ability to lead and motivate teams effectively
  • Excellent communication skills—both verbal and written—with a focus on phone etiquette and customer service excellence
  • Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
  • Demonstrated skills in event planning, vendor management, budgeting, bookkeeping, and payroll processing
  • Knowledge of medical office management or healthcare administration is a plus but not required
  • Exceptional organizational skills with keen attention to detail in filing, record keeping, and administrative tasks
  • Ability to handle multiple priorities efficiently in a fast-paced environment
  • Experience in training & development initiatives to support staff growth
