CFD, an outpatient behavioral health and substance abuse treatment agency, is seeking an Office Manager to join our team.

Position Overview

We are seeking a highly organized and proactive Office Manager to oversee daily operations and facilities management within our organization. This role is essential to ensuring a safe, efficient, and welcoming environment for staff, clients, and visitors. The ideal candidate brings strong leadership, operational oversight, and problem-solving skills, along with a commitment to supporting a mission-driven team. This is an opportunity to play a key role in maintaining the infrastructure and workflows that allow our programs to serve the community effectively.

Duties

  • Supervise and support front office staff, including scheduling, training, and performance oversight
  • Ensure a professional and welcoming experience for all visitors, clients, and staff
  • Oversee reception operations, including phones, mail, deliveries, and overall office flow
  • Develop, implement, and maintain front office procedures and best practices
  • Manage facility operations, including tracking maintenance needs and coordinating repairs and improvements
  • Serve as the primary point of contact for vendors, property management, and service providers
  • Maintain records related to building services, warranties, and vendor contracts
  • Monitor building systems, including alarm systems, and respond to issues as needed
  • Act as a liaison across departments to identify operational and facility needs
  • Support organizational compliance by helping implement policies and procedures across teams
  • Coordinate office space planning, moves, and operational needs with department leaders
  • Monitor and maintain office supplies, equipment, and shared resources
  • Assist with budgeting, expense tracking, and invoice management related to office and facilities operations
  • Communicate updates and timelines related to building projects or disruptions
  • Attend meetings and complete additional projects as assigned

Experience & Requirements

  • Bachelor’s degree in facilities management, business administration, or a related field, or equivalent experience
  • Minimum of three (3) years of experience in facilities, operations, or office management
  • Knowledge of building systems, safety standards, and vendor coordination
  • Strong organizational, communication, and problem-solving skills
  • Ability to manage multiple priorities and work independently
  • Experience working in healthcare or social services settings is a plus
  • Bilingual abilities are highly valued

Work Environment & Physical Requirements

  • Ability to move throughout office buildings and between locations
  • Ability to lift or move items up to 50 lbs as needed
  • Prolonged periods of sitting, standing, and walking
  • Ability to visually inspect facilities and equipment
