Office Manager / Executive Secretary
Location: Jeddah, Saudi Arabia
We are looking for a highly organized and proactive Office Manager / Executive Secretary to oversee daily office operations and provide comprehensive executive level support. The ideal candidate should be professional, detail oriented, and able to manage multiple tasks effectively in a fast paced environment.
Key Responsibilities
- Oversee daily office operations to ensure a smooth and efficient workflow.
- Provide executive support, including calendar management, scheduling, travel arrangements, and meeting coordination.
- Draft, format, and manage correspondence, reports, and official documents.
- Handle confidential information with discretion and professionalism.
- Coordinate with internal departments and external stakeholders.
- Organize and maintain company files, records, and office supplies.
- Assist with HR related tasks such as attendance tracking and onboarding documentation.
- Prepare meeting minutes and follow up on action points.
- Support management with special projects and administrative tasks as required.
Qualifications & Requirements
- Based in Jeddah or willing to relocate.
- Bachelor's degree preferred.
- 2-5 years of experience in office management, administration, or executive assistance.
- Excellent communication skills in English (Arabic is an advantage).
- Strong organizational, multitasking, and problem solving abilities.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Professional demeanor with strong interpersonal skills.
