Office Manager

Job Summary
We are looking for a proactive and organized Office Manager to keep our daily operations running smoothly. In this role, you'll be the go-to person for managing office functions, supporting staff, and ensuring an efficient work environment. The ideal candidate is friendly, detail-oriented, and skilled in multitasking, with a knack for keeping things organized and running seamlessly.

Responsibilities

  • Oversee daily office operations including taking customer calls, scheduling work, maintaining digital and physical files, and other clerical tasks as needed
  • Manage accounts payable and accounts receivable
  • Process weekly payroll and make liability payments, including union fringe benefits
  • Assist with project management by preparing proposals, pay applications, submittals and closeout documents
  • Apply for state and local municipal permits, schedule inspections and maintain records
  • Assist with job costing by tracking expenses and providing job cost reports
  • Handle human resources functions such as employee onboarding and maintaining personnel records

Requirements

  • Construction experience strongly preferred but not required
  • Proven experience in office management positions
  • Proficiency in QuickBooks for bookkeeping and payroll processing, as well as Word, Outlook, Excel and Adobe.
  • Exceptional communication skills and professional phone and email etiquette
  • Ability to manage multiple priorities simultaneously while maintaining attention to detail
