Job Summary
We are looking for a proactive and organized Office Manager to keep our daily operations running smoothly. In this role, you'll be the go-to person for managing office functions, supporting staff, and ensuring an efficient work environment. The ideal candidate is friendly, detail-oriented, and skilled in multitasking, with a knack for keeping things organized and running seamlessly.
Responsibilities
- Oversee daily office operations including taking customer calls, scheduling work, maintaining digital and physical files, and other clerical tasks as needed
- Manage accounts payable and accounts receivable
- Process weekly payroll and make liability payments, including union fringe benefits
- Assist with project management by preparing proposals, pay applications, submittals and closeout documents
- Apply for state and local municipal permits, schedule inspections and maintain records
- Assist with job costing by tracking expenses and providing job cost reports
- Handle human resources functions such as employee onboarding and maintaining personnel records
Requirements
- Construction experience strongly preferred but not required
- Proven experience in office management positions
- Proficiency in QuickBooks for bookkeeping and payroll processing, as well as Word, Outlook, Excel and Adobe.
- Exceptional communication skills and professional phone and email etiquette
- Ability to manage multiple priorities simultaneously while maintaining attention to detail
