Luxury Remodeling & Cabinetry Dealer

Position Summary

We are seeking a highly organized, professional, and detail-oriented Office Manager to oversee the daily administrative operations of a luxury remodeling and cabinetry dealer. This role is responsible for ensuring smooth office functionality, supporting the sales and design teams, coordinating client communications, assisting with project administration, and maintaining a polished client experience from initial inquiry through project completion.

The ideal candidate will possess strong communication skills, multitasking abilities, customer service experience, and the ability to manage fast-paced workflows within the residential remodeling and design industry.

Key ResponsibilitiesAdministrative & Office Management

  • Manage daily office operations, scheduling, and administrative procedures
  • Answer incoming calls, emails, and client inquiries professionally and promptly
  • Maintain organized digital and physical filing systems for projects, contracts, selections, and invoices
  • Coordinate office supplies, vendor accounts, and general office organization
  • Assist ownership and management with operational support and reporting

Client Relations

  • Provide exceptional customer service to homeowners, builders, designers, and vendors
  • Schedule consultations, showroom appointments, and project meetings
  • Maintain consistent communication with clients regarding project timelines, selections, and updates
  • Ensure a high-end client experience aligned with company standards and brand image

Project & Sales Support

  • Support designers and sales staff with proposals, contracts, purchase orders, and project documentation
  • Track project schedules, material deliveries, and installation timelines
  • Assist with cabinetry orders, change orders, and vendor coordination
  • Help maintain CRM systems, lead tracking, and project status updates
  • Coordinate permits, subcontractor documentation, and warranty information when needed

Financial & Operational Duties

  • Assist with invoicing, collections, vendor payments, and job costing documentation
  • Track deposits, progress payments, and project-related expenses
  • Collecting and Updating Subcontractor COI's, W-9's and Agreements.
  • Maintain accurate records and assist with bookkeeping coordination
  • Support payroll processing and employee onboarding documentation as needed

Marketing & Office Coordination

  • Help maintain office presentation and organization
  • Assist with social media updates, client follow-ups, and marketing coordination
  • Support company events, vendor meetings, and promotional initiatives

Qualifications

  • Previous office management or administrative experience required
  • Experience in remodeling, construction, interior design, cabinetry, or home services industry preferred
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication abilities
  • Professional appearance and customer-focused attitude
  • Proficiency in Microsoft Office, Google Workspace, CRM systems, and scheduling software
  • Ability to manage multiple projects and deadlines simultaneously
  • Experience with QuickBooks, HouzzPro, Buildertrend, JobTread, or similar construction management software is a plus

Work Environment

This position is primarily office and home based within a fast-paced luxury remodeling and cabinetry company. The role requires regular interaction with clients, vendors, subcontractors, and internal team members while maintaining a polished and organized atmosphere.

Pay: $24.90 - $29.99 per hour
