Office Manager & Accounting Assistant

The Office Manager & Accounting Assistant is responsible for overseeing the day-to-day administrative operations of the office while providing accounting support to the corporate and management teams. This position plays a key role in keeping the office organized, ensuring financial transactions are processed accurately, and supporting the overall efficiency of the business.

We're looking for an organized, detail-oriented professional who enjoys creating structure, managing office operations, and supporting the financial functions of the business. The ideal candidate is dependable, proactive, and able to manage multiple priorities in a fast-paced environment, someone who takes ownership of their responsibilities and enjoys being the person who keeps the office running smoothly.

Pay: $45,000.00-$55,000.00/salary

Hours: Monday through Friday, 8 AM to 5 PM, in person

Benefits include 401(k) with matching, health/dental/vision/life insurance, LTD, STD, paid time off, and seven paid holidays

Requirements:

Office Administration

Oversee the daily administrative operations of the office.
Answer and direct incoming phone calls as needed.
Order and maintain office supplies.
Maintain organized office files and company records.
Coordinate office vendors and service providers.
Schedule meetings and assist with administrative projects.
Support managers with general administrative needs.
Maintain confidentiality of company and employee information.

Accounting Support

Process bank transactions and customer payments daily.
Make bank deposits.
Enter vendor invoices and assist with accounts payable processing.
Assist with accounts receivable activities as needed.
Reconcile credit card transactions.
Maintain accurate accounting records and supporting documentation.
Support the corporate team with special projects and other accounting responsibilities.

Administrative Support

Maintain organized electronic and paper filing systems.
Recommend improvements to office procedures and workflows.
Perform other administrative duties as assigned.

Qualifications

High school diploma or equivalent required; associate degree in business or accounting is a plus.
2 or more years of office administration experience.
Proficiency with Microsoft Office, including Excel, Word, and Outlook.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Ability to prioritize multiple responsibilities and meet deadlines.
Strong written and verbal communication skills.
Professional, dependable, and team-oriented.
Ability to maintain confidentiality and exercise sound judgment.
