Position: Office Manager for a Publicly Traded Company
Reports to: CEO / Senior Leadership
Overview:
The Office Manager will play a critical role in supporting the day-to-day financial, administrative, and operational functions of an expanding start-up company. This individual is a highly organized, detail-oriented, and hands-on contributor who ensures that core business processes run smoothly and efficiently.
This role combines light accounting, administrative coordination, HR support, and team management responsibilities. The Office Manager will be responsible for maintaining accurate financial records, supporting payroll and bill payments, assisting in the development of HR systems and policies, and managing a growing team to ensure tasks are executed with consistency and quality.
This position is ideal for someone who thrives in a fast-paced, growing company and enjoys building structure, improving processes, and supporting leadership across multiple functions.
Responsibilities:
Accounting & Financial Support
- Perform basic bookkeeping functions, including bank and credit card reconciliations and transaction categorization in QuickBooks
- Upload and organize receipts, invoices, and supporting documentation to ensure all transactions are properly recorded and audit-ready
- Process payroll and manage employee timesheets, ensuring accuracy and timely submission
- Manage accounts payable, including bill payments, vendor coordination, and wire transfers
- Maintain organized records of financial activity, payments, and obligations
HR & Policy Development
- Assist in building and maintaining the company’s HR infrastructure, including setting up and managing an online HR portal
- Support the development, documentation, and implementation of employee handbooks, policies, and internal procedures
- Help ensure consistency and organization across HR processes and employee documentation
Administrative & Office Operations
- Provide general administrative support to leadership, including coordination, task tracking, and follow-up
- Maintain a calendar of licenses and other compliance-related tasks
- Serve as the front desk point of contact, greeting visitors and team members, answering occasional phone calls, and maintaining a professional office environment
- Maintain visibility into daily office operations to identify gaps, improve organization, and ensure smooth execution
- Support internal coordination across departments and assist with day-to-day operational needs.
Assistant Team Management
- Build, manage, and oversee a small team of personal and administrative assistants
- Assign tasks, track progress, and ensure accountability across assistant workflows
- Review completed work, provide feedback, and maintain quality control standards
- Establish systems and processes to improve efficiency, communication, and execution across the assistant team
Executive & Personal Assistant Support
- Train in personal assistant responsibilities to understand and support the needs of the CEO and Chief of Staff
- Assist with calendar coordination, scheduling, and task management as needed
- Help coordinate errands, logistics, and administrative tasks that support executive productivity
- Step in as a backup resource for personal or executive support when necessary
- Identify opportunities to improve systems that support executive workflows and daily operations
Qualifications:
- 3–7+ years of experience in office management, bookkeeping, administrative operations, or similar roles
- Strong working knowledge of QuickBooks (Online preferred)
- Experience with payroll processing and timesheet management
- Familiarity with accounts payable processes, including bill payments and wire transfers
- Basic understanding of accounting principles and financial recordkeeping
- Experience supporting HR functions, including policy documentation and onboarding systems
- Strong organizational and multitasking skills with exceptional attention to detail
- Proven ability to manage people, prioritize tasks, and follow through consistently
- Strong communication skills with the ability to coordinate across multiple stakeholders
- Tech-savvy with experience using tools such as Google Workspace, Trello, or similar platforms
- Ability to anticipate needs, solve problems proactively, and operate with a high level of ownership
- Comfortable working in a fast-paced, evolving startup environment
