Office Manager (Accounting & Administrative)

Job Summary

The Office Manager is responsible for daily office operations while providing hands-on support in accounting and administrative functions. This role ensures the office runs efficiently, financial records are accurate, and administrative processes support overall business objectives. The ideal candidate is highly organized, detail-oriented, and comfortable balancing multiple priorities.

Key Responsibilities

Office Management & Administration

  • Oversee daily office operations to ensure efficiency and productivity
  • Manage office supplies, equipment, and vendor relationships
  • Maintain office policies, procedures, and filing systems (physical and digital)
  • Coordinate schedules, meetings, and internal communications
  • Support onboarding and offboarding of employees
  • Handle general correspondence, phone calls, and email inquiries
  • Maintain confidential records and ensure compliance with company policies

Accounting & Financial Duties

  • Process accounts payable and accounts receivable
  • Prepare and issue invoices; track and follow up on outstanding payments
  • Reconcile bank statements and credit card accounts
  • Maintain accurate financial records and general ledger entries
  • Assist with payroll processing and employee expense reimbursements
  • Prepare financial reports for management review
  • Support month-end and year-end closing activities
  • Coordinate with external accountants, bookkeepers, or auditors as needed

Qualifications

  • Proven experience as an Office Manager, Administrative Manager, or similar role
  • Strong understanding of basic accounting principles and bookkeeping practices
  • Proficiency with accounting software and Microsoft Office (Excel, Word, Outlook)
  • Excellent organizational, time-management, and multitasking skills
  • Strong written and verbal communication skills
  • High level of discretion and professionalism

Preferred Skills

  • Paralegal experience
  • Interest in property management
  • Ability to work independently and proactively solve problems

Work Environment

  • Office-based role with regular business hours

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year

Work Location: In person
