We are seeking an energetic and highly organized Office Manager to oversee administrative operations, billing processes, and dispatch activities within our dynamic team. Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
- Oversee billing and bookkeeping activities using QuickBooks or similar accounting software, ensuring accuracy in invoicing, payments, and financial records.
- Coordinate dispatch activities by scheduling appointments, managing vendor relationships, and ensuring timely service delivery.
- Supervise administrative staff and provide training & development to enhance team performance and efficiency.
- Handle human resources functions such as payroll processing, employee records management, and assisting with onboarding procedures.
- Maintain organized filing systems for medical or general office documents while ensuring compliance with confidentiality standards.
- Support event planning efforts for company meetings or community outreach initiatives to promote team engagement.
Requirements
- Proven experience in office management, administrative support, or related roles within a professional environment.
- Strong proficiency with QuickBooks and excellent bookkeeping skills.
- Demonstrated supervising experience with the ability to lead and motivate a team effectively.
- Exceptional organizational skills with the ability to manage schedules, prioritize tasks, and handle multiple responsibilities simultaneously.
- Experience in vendor management, billing procedures, payroll processing, and budgeting is highly desirable.
- Excellent communication skills paired with professional phone etiquette for front desk interactions and internal correspondence.
- Knowledge of medical office management or dispatch operations is a plus but not mandatory.
- Ability to adapt quickly to changing priorities while maintaining attention to detail in clerical tasks such as filing and record keeping.
