<Duties>
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and handling inquiries with professionalism and warmth
- Oversee office supplies inventory, coordinate procurement, and maintain organized filing systems to ensure operational efficiency
- Utilize computer skills to perform data entry, maintain records, and support bookkeeping activities using QuickBooks or similar software
- Schedule and coordinate meetings, manage calendars, and handle appointment setting for staff and executives
- Provide excellent customer support by addressing client questions, assisting with administrative tasks, and ensuring a positive experience for all visitors
- Maintain office organization through filing, proofreading documents, and managing correspondence using Microsoft Office and Google Workspace tools
- Support clerical tasks such as typing reports, managing data entry projects, and ensuring accurate documentation of office activities
<Requirements>
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
- Experience with multi-line phone systems, phone etiquette, and front desk operations
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Familiarity with QuickBooks for bookkeeping and data entry tasks is preferred
- Excellent organizational skills with attention to detail in proofreading and filing processes
- Strong time management skills to prioritize tasks efficiently in a busy environment
- Previous experience as a dental or medical receptionist or personal assistant is advantageous
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
