Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, supervisory, and communication skills, with experience in office management, event planning, and human resources. This role offers an opportunity to work with a dynamic team, manage vendor relationships, and contribute to the overall efficiency of our organization. Previous experience in billing, accounting, office management or similar settings is a plus. The Office Manager will be instrumental in maintaining an organized workspace, managing billing and accounting, and supporting staff development.
Duties
- Oversee daily office operations, including front desk management and multi-line phone systems
- Manage calendar scheduling for staff meetings, appointments, and events.
- Handle human resources functions such as onboarding, payroll processing, and employee records management
- Manage vendor relationships
- Maintain accurate bookkeeping records using Jobber and Quickbooks
- Create P & L Reports on a weekly basis
- Prepare budgets, monitor expenses, and assist with financial reporting
- Ensure online filing systems are organized and up-to-date for easy retrieval of documents
- Maintain high standards of phone etiquette and professional communication at all times
- Support team management efforts by fostering a collaborative work environment
Qualifications
- Proven experience in office management, administrative support, or clerical roles
- Supervising experience with demonstrated leadership skills
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems, outlook, microsoft word and excel
- Strong organizational skills with attention to detail
- Excellent communication skills—both verbal and written
- Experience in vendor management, and budgeting preferred.
- Knowledge of human resources functions such as payroll processing and employee training & development
- Ability to handle bookkeeping tasks accurately and efficiently
- Demonstrated ability to manage multiple priorities in a fast-paced environment
- Professional demeanor with strong phone etiquette and customer service skills
This position plays a vital role in maintaining an efficient office environment while supporting staff development and organizational growth.
Pay: $23.57 - $28.39 per hour
