Job Summary

Callaway Materials and Callaway Materials Hauling are seeking a reliable and detail-oriented Office Manager to oversee accounting, administrative, and operational support functions across both companies.

This position plays a key role in maintaining accurate financial records, managing invoicing and billing, supporting trucking and material operations, and ensuring overall office efficiency.

The ideal candidate will have experience with QuickBooks Online, strong organizational skills, and the ability to manage multiple responsibilities in a fast-paced construction and trucking environment.

Pay & Benefits

Key Responsibilities

Accounting & Bookkeeping

  • Manage QuickBooks Online for both companies
  • Handle Accounts Payable (AP) and vendor payments
  • Manage Accounts Receivable (AR) and collections
  • Create and process customer invoices for materials and hauling
  • Reconcile bank accounts, credit cards, and financial records
  • Maintain accurate and organized financial documentation
  • Generate reports (P&L, transaction summaries, etc.)

Trucking & Materials Operations Support

  • Track and bill dump truck hauling hours
  • Assist with material sales tracking and ticket reconciliation
  • Support and help manage mobile scale house operations from the office
  • Coordinate with field teams, drivers, and plant operations

Inventory Management

  • Track and monitor inventory levels (asphalt, sand, gravel, limestone, etc.)
  • Assist with material usage tracking and reporting

Compliance & Administrative Duties

  • Maintain company compliance records and licensing
  • Handle permits, DOT-related paperwork, and required filings
  • Maintain organized office systems (digital and physical)

HR & Marketing Support

  • Assist with employee onboarding and documentation
  • Help coordinate hiring efforts and job postings
  • Support basic marketing and social media updates

Systems & Process Improvement

  • Identify opportunities to improve office efficiency
  • Help implement and manage software tools and systems
  • Streamline processes between office and field operations

Qualifications

  • QuickBooks Online experience required
  • 5+ years of experience in office management, bookkeeping, or administrative roles
  • Strong understanding of AP/AR, invoicing, and financial processes
  • Excellent organizational and time management skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong communication skills
  • Experience in construction, trucking, or materials industry is preferred

Schedule

  • Monday to Friday
  • 40 hours per week
  • In-office position (Fulton, MO)
