We are seeking an experienced and detail-oriented Office Administrator / Bookkeeper to support the daily operations of our growing company. This position is responsible for administrative, bookkeeping, scheduling, and office coordination duties to help ensure efficient day-to-day operations.
The ideal candidate is organized, dependable, hardworking, and able to multitask in a fast-paced environment while maintaining professionalism and strong communication.
Schedule: Monday–Friday, 6:30 AM – 3:00 PM
Experience Required: Minimum 2 years of office administration and/or bookkeeping experience
Responsibilities:
Responsibilities include, but are not limited to:
- Answer incoming calls and assist customers professionally
- Schedule appointments for estimators and coordinate calendars
- Process invoicing for repairs and reroof projects
- Collect customer payments and assist with Accounts Receivable (AR) and Accounts Payable (AP)
- Complete employee timecards and assist with payroll processing
- On Boarding and off boarding
- Obtain permits and schedule city/county inspections
- Open vendor accounts and maintain company business licenses
- Assist with job costing and project tracking
- Maintain organized records, files, and office documentation
- Support daily office operations and administrative tasks as needed
Qualifications
- Minimum 2 years of office administration and/or bookkeeping experience
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Experience with QuickBooks or similar accounting software preferred
- Proficient in Microsoft Office and basic computer systems
- Ability to work independently and in a team environment
- Reliable, punctual, and detail-oriented
- Experience processing payroll, accounts receivable (AR), and accounts payable (AP)
- Understanding of job costing, invoicing, and project expense tracking
Preferred Qualities
- Experience in construction, roofing, or service-based industries preferred
- Ability to adapt in a growing and fast-paced company environment
- Positive attitude with strong problem-solving skills
- Ability to manage vendor invoices, subcontractor payments, and collections
