Job description
We are looking for a highly organized and detail-oriented Office Manager who thrives in a fast-paced environment and is skilled in Microsoft Office and modern digital tools. The ideal candidate is a critical thinker who takes initiative, solves problems independently, and provides reliable administrative support to keep operations running smoothly. This role supports Full Circle Homes – a growing construction and design firm dedicated to delivering high quality beautiful spaces for residential clients.
Key Responsibilities:
- Create, manage, and analyze Excel spreadsheets for reporting, tracking, and client ordering
- Create, format and edit presentations using Microsoft Office (Word, Excel, PowerPoint) or similar software
- Support virtual meetings (zoom, Microsoft teams, google meet) including scheduling, setup and note taking
- Communicate with clients and vendors via e-mail and phone professionally
- Perform a wide range of administrative tasks including scheduling, email correspondence, document creation, and file organization
- Work closely with various departments to support daily operations and cross-functional projects
- Maintain accurate digital records and organize files across cloud platforms (Dropbox)
- Identify inefficiencies and recommend tech-driven solutions to improve workflow
- Prioritize and manage multiple tasks in a fast-moving environment with shifting priorities
- Exercise sound judgment and problem-solving skills in day-to-day responsibilities
- Support meetings by organizing logistics, preparing materials, and tracking follow-up actions
- Bookkeeping and basic accounting
- Handle sensitive information with discretion and professionalism
- Must be able to lift up to 35 lbs
Qualifications:
- Previous experience with Residential Design and Construction
- High school diploma or equivalent; additional certifications in office administration are a plus.
- Strong PC skills, including proficiency in Microsoft Office Suite
- Experience with Quickbooks
- Proficient at typing
- Proven experience as an office manager , administrative assistant, or in a similar role.
- Familiarity with office equipment (copiers, printers, scanners).
- Strong organizational skills with the ability to multitask and prioritize work.
- Excellent verbal and written communication skills.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and collaboratively within a team.
- Professional demeanor and positive attitude
- 1-2 References from previous work required
Preferred Skills:
- Basic understanding of cloud storage (Dropbox)
- Experience with office management software or databases
- Experience with scheduling software and calendar management tools.
- Experience with Canva is a plus
- Ability to decipher a set of construction plans is a plus but not required
- Basic knowledge of social media applications
