Office Manager / Dispatcher

Overview
We are seeking a motivated and highly organized Office Manager / Dispatcher to join our team! This role is vital in ensuring smooth daily operations, coordinating jobs, and maintaining communication across departments. The ideal candidate will be willing to take charge of the office, possess excellent communication skills, and demonstrate a proactive approach to problem-solving. We are especially seeking office staff with efficiency in Housecall Pro and Quickbooks reports.

This position requires an applicant who is able to be pleasant and caring to our customers, assertive and encouraging to our service and installation employees, and who will help create a positive work environment.

Duties

  • Manage the job flow of technicians, installers, and the sales team by staying abreast of tickets and invoices.
  • Must be efficient with (or able to quickly master) computer software and mobile apps for scheduling, dispatching, and customer portals
  • Process and track warranty parts
  • Accounts Receivable (Billing)
  • Accounts Payable (Paying bills)
  • Scheduling & dispatching
  • Check email and keep up with correspondence
  • Follow up with open estimates created by the sales team
  • Keep track of ordered parts to schedule install on arrival
  • Manage compliance of subcontractors (Insurace certificates etc.)
  • Occasional supply delivery to install crew (fuel expenses covered)

Job Type: Full-time

Pay: $20.00 - $25.00 per hour

Expected hours: 40 per week
