We are a small full-service estate planning/probate law firm specializing in serving families with loved ones with disabilities. We are seeking a full-time office manager (30+ hours).
Major responsibilities include:
- Ensure all company policies and procedures are consistently followed
- Observe confidentiality of client and firm matters
- Manage client billing and payments, including preparation of client fee agreements
- Create billing schedules and various other billing analyses as required
- Prepare monthly client pre-bills; identify and resolve billing inaccuracies
- Prepare final client invoices; submit to client; track payment
- Monitor weekly time tracking for all employees; ensure all time is properly captured
- Manage HR related matters, including onboarding new employees, maintaining personnel files, verifying timesheets, processing vacation requests, assisting with Federal, state, and local HR compliance, addressing HR issues.
- Plan and coordinate all company events, both in and out of the office (vendor fairs, workshops, client appreciation party, holiday party, etc.)
- Manage relationships with office vendors and building management (phone service, water service, internet provider, shred company, etc.)
Job Qualifications:
- Bachelor’s degree
- 4+ years of experience as an HR manager, office manager or equivalent
- Excellent verbal and written communication skills
- Detail oriented and highly organized
- Ability to work with a high degree of accuracy
- Excellent analytical and problem-solving skills
- Law firm or professional services experience preferred
- Strong computer proficiency including MS Word, Excel, PowerPoint, Outlook; Adobe Acrobat; ability to learn new programs as needed
- Self-motivated, flexible, with exceptional follow-through skills
- Ability to work independently as well as collaboratively with others
- Minimum typing speed of 55 wpm
- Must be able to provide own transportation and have a clean DMV record
Pay is commensurate with skills, ability and experience.
