Pancholi Cosmetic Surgery is a premier, fully cash-pay cosmetic practice with a private AAAHC-accredited surgery center. We are seeking a polished, highly organized Office Manager with true medical practice management experience, strong staff leadership abilities, and the professionalism required for a luxury clinical environment.

This is a hands-on, in-office role with daily involvement in staff leadership and patient flow. Clinical experience is required.

About the Role

The Office Manager is the operational and cultural anchor of the practice.
You will:

  • Lead and coach staff using structured accountability
  • Maintain a calm, efficient, discreet environment
  • Oversee patient flow from check-in → consult → pre-op → post-op
  • Ensure HIPAA, privacy, and safety compliance
  • Resolve conflict professionally and protect culture
  • Coordinate front desk, PCCs, MAs, and support staff
  • Support digital marketing oversight (not content creation)
  • Work in close alignment with the physician-owner and uphold daily standards

This role has significant influence on patient experience, team performance, and the smooth running of the clinical day.

Required Qualifications

  • 3+ years medical, dental, or aesthetic office management experience
  • Bachelor’s degree
  • Experience managing multi-role clinical teams (MAs, PCCs, front desk)
  • Strong understanding of clinical or surgical patient flow
  • Working knowledge of HIPAA and medical compliance
  • Proven ability to hold staff accountable through KPIs and documented performance processes
  • High emotional intelligence & conflict resolution ability
  • Polished professional communication
  • Daily on-site leadership presence
  • Comfortable supporting patients in elective, appearance-based medical settings
  • Strong computer proficiency; able to learn EMR and practice software quickly and independently

Preferred Experience

  • Cosmetic plastic surgery, dermatology, or aesthetic medicine
  • Elective/self-pay patient psychology
  • Oversight of online reviews, social presence, and digital marketing fundamentals
  • Experience with high-end or luxury clientele

Experience must come from a medical, dental, or aesthetic clinical setting. Hospitality- or retail-only backgrounds do not translate to this role.
