Office Manager / Marketing

<Responsibilities>

  • Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical support to ensure smooth workflow.
  • Manage scheduling and calendar coordination for leadership and team members, optimizing time management across departments.
  • Lead event planning efforts for company meetings, community outreach, and promotional activities, ensuring seamless execution from logistics to follow-up.
  • Supervise administrative staff and provide training & development opportunities to foster a motivated and efficient team.
  • Handle vendor management by sourcing, negotiating, and maintaining relationships with suppliers and service providers.
  • Oversee human resources functions such as onboarding new employees, payroll processing using QuickBooks or similar software, and maintaining employee records.
  • Manage office budgets, bookkeeping tasks, and expense tracking to ensure financial accuracy and accountability.
  • Support marketing initiatives by coordinating campaigns, managing social media presence, and assisting with promotional materials.

<Requirements>

  • Proven experience in office management or administrative roles within a professional setting.
  • Demonstrated supervising experience with the ability to lead and develop teams effectively.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
  • Excellent communication skills—both verbal and written—with professional phone etiquette.
  • Proficiency in QuickBooks or comparable accounting software for payroll and bookkeeping tasks.
  • Experience in event planning, vendor management, and calendar scheduling.
  • Knowledge of human resources procedures including onboarding, training & development, and employee recordkeeping.
  • Background in medical office management or similar healthcare environments is a plus but not required.
