Institute of Modern Recovery is a rapidly growing behavioral health office committed to providing high-quality care. We are seeking a proactive and dedicated Practice & Operations Manager to join our team in a key leadership role. You will work directly with our CEO to manage the day-to-day operations of our office and implement strategic initiatives for growth. The ideal candidate is an organized, detail-oriented leader who is passionate about making a difference in the healthcare field. This is a part time position 30 hours a week with the potential for full time.
Key Responsibilities
- Front Desk & Client Relations: Oversee all front-desk operations, ensuring a smooth and welcoming experience for all clients.
- Scheduling Clients: Manage the flow of client referrals, including scheduling new client appointments and coordinating follow-ups.
- Billing & Financial Management: Oversee all aspects of billing, insurance claims, and patient accounts. Experience with insurance verification, eligibility, and various plans.
- Team Leadership: Supervise and support office staff, including an Office Assistant, to ensure efficient daily operations.
- Policy & Procedures: Implement, improve, and monitor office policies and procedures to optimize workflows.
- Manage new hire onboarding, staff training sessions, and assist with insurance contract and credentialing processes for new therapists.
- Record Keeping: Maintain accurate client records and ensure compliance with all confidentiality and regulatory requirements.
Qualifications
- Minimum of four (4) years of direct office management or practice administration experience.
- Work in a Mental Health or Medical setting.
- Proven experience in a healthcare or behavioral health setting is required.
- Proficiency with office software, including Google Workspace, Microsoft Office (Word, Excel), and an Electronic Health Record (EHR) system.
- Proficient in using EHR systems; experience with Simple practice, Meditech, Athenahealth, eClinicalWorks, Eaglesoft or Dentrix is highly desirable.
- Knowledge of medical coding practices (ICD-9/ICD-10) and CPT coding is necessary.
- Strong communication and problem-solving skills with a proactive, goal-oriented mindset.
- Highly detail-oriented with the ability to manage multiple priorities effectively.
- Ability to work independently with minimal supervision.
