Job Summary
We are seeking a dynamic and highly organized Office Manager/Personal Assistant to join our team. This pivotal role combines office management with personal assistance duties, ensuring smooth daily operations and supporting executive needs. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of administrative tasks, coordinate events, manage schedules, and oversee vendor relationships. Your energy and enthusiasm will help foster an efficient work environment while providing personalized support to leadership.
Responsibilities
- Manage and coordinate daily office operations, including front desk duties, filing systems, and clerical tasks to ensure a productive workspace
- Oversee schedule management for executives and team members, including calendar organization, appointment setting, and meeting coordination
- Plan and execute company events, meetings, and special functions with attention to detail and logistical precision
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Handle vendor management by sourcing, negotiating, and maintaining relationships with service providers and suppliers
- Manage bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and payroll processing
- Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll administration
Experience
- Proven experience in office management or administrative roles within a professional environment
- Supervising experience with the ability to lead teams effectively and foster a collaborative work atmosphere
- Strong proficiency in QuickBooks or comparable bookkeeping/accounting software
- Demonstrated expertise in event planning, vendor management, and schedule management
- Knowledge of medical office management or healthcare administration is a plus but not required
- Excellent communication skills with the ability to handle multi-line phone systems and phone etiquette professionally
- Organizational skills that ensure efficient filing systems, calendar management, and multitasking across various responsibilities
