SPI is a real estate asset and property management company focused on operational excellence across a diverse portfolio. We value accountability, efficiency, and proactive problem-solving, and we are seeking a highly organized Office Manager to serve as the operational backbone of our team.
Position Overview
The Office Manager will oversee day-to-day administrative, financial, and operational functions of the office while supporting property management activities. This role requires someone who is highly organized, detail-oriented, and capable of managing multiple priorities across accounting, vendor coordination, tenant communication, and internal operations.
You will act as a central hub for information, ensuring smooth coordination between ownership, property managers, tenants, vendors, and internal staff.
Key Responsibilities
Office & Administrative Management
- Oversee daily office operations to ensure efficiency and organization
- Manage calendars, communications, and document flow across the team
- Maintain organized digital and physical filing systems
- Coordinate meetings, vendor visits, and internal workflows
- Track and prioritize a high volume of emails, requests, and tasks
- Assist with worker coordination and vendor scheduling
Accounting & Financial Coordination
- Assist with accounts payable and receivable, including invoice processing
- Perform bank and account reconciliations
- Support monthly and year-end financial reporting processes
- Maintain organized financial records across multiple entities
- Assist with budgeting, expense tracking, and cost analysis
Vendor & Compliance Management
- Coordinate with vendors, contractors, and service providers
- Track vendor agreements, insurance certificates, and compliance requirements
- Assist with insurance claims, audits, and renewals
- Support regulatory filings and documentation as needed
HR & Operational Support
- Process payroll coordination and verify employee recordkeeping
- Support hiring logistics, onboarding, and internal documentation
- Help maintain company policies and operational procedures
Required Skills & Qualifications
- Strong proficiency in Google Suite (Docs, Sheets, Drive, Gmail)
- Experience with AppFolio strongly preferred
- QuickBooks experience required, including AP/AR, reconciliations, and reporting
- Excellent organizational and time management skills
- Ability to manage multiple priorities in a fast-paced environment

- Strong attention to detail
- Analytical mindset with ability to work with spreadsheets and data
- Excellent written and verbal communication skills
- Strong problem-solving abilities

- Comfortable learning and adapting to new systems and technologies
- Minimum typing speed of 50 WPM
- Experience with reviewing vendor bids for property repairs and renovations
Preferred Experience
- Experience in property management or real estate operations
- Experience coordinating vendors and managing multiple stakeholders
- Familiarity with multi-entity operations
- Familiarity with overseeing rehabs, renovations, or construction
