About us

Rainbow Restoration of Bothell is a growing water mitigation and restoration company seeking an experienced, detail-oriented Office Manager to lead our daily office operations. This role is critical in keeping our team organized, supporting our field technicians, and ensuring a smooth, professional experience for our customers.

The ideal candidate has prior office management experience, preferably in restoration, construction, or a related industry, and thrives in a fast-paced environment. Most of what we do is repetitive, so if your a quick learner, the job becomes easier and easier each day. The ultimate goal for this position is to basically run the show. I would want this person to know that you are coming into a family atmosphere. Our shop is on our property and our office is run out of our home. This person and myself work extremely close together, especially during training. I truly believe if we can get the right person in here we can begin to take the next steps forward in creating a formidable business in the industry we are in, which is Insurance Restoration. We are pretty much involved in any type of claim that could possibly happen to a home.

Our current office manager will be leaving for maternity leave in the next couple months so it would be ideal to get someone in here to train before then. As of now this is a part time positions that could potentially end up being full time if after maternity leave our current office manager decides not to come back.

Office Manager

Duties:

  • Oversee and manage daily office operations
  • Schedule and dispatch water mitigation technicians efficiently
  • Answer incoming calls and provide excellent customer service
  • Coordinate communication between customers, insurance adjusters, and field staff
  • Manage job files, documentation, and compliance requirements
  • Handle invoicing, billing, and assist with insurance claims processing (Xactimate experience is a plus)
  • Support accounts payable/receivable and basic bookkeeping tasks
  • Maintain organized records and ensure timely follow-ups
  • Maintain and organize office files, records, and documents.
  • Coordinate and schedule meetings, appointments, and events.
  • Assist in training and development of office staff. After you have been taught.
  • Oversee calendar management for the office.
  • Manage office supplies inventory and order necessary items.
  • Ensure efficient operation of phone systems and handle any technical issues that arise.
  • Provide support to various departments as needed.-
  • Write Estimates

Experience:

  • Previous experience in office management or related field preferred. But not neccessary. There are other things like fast learner that are just as important.
  • Strong organizational and multitasking abilities.
  • Excellent phone etiquette and communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook). Preferred not mandatory.
  • Ability to effectively manage a team. Again, this would be nice, but not a deal breaker.
  • Familiarity with restoration software such as Xactimate, MobileClaims, and ITEL. Preferred not mandatory.

Schedule:

  • Monday-Friday 9-5
