Job Overview
We are seeking a highly organized and proactive Office Manager / Executive Assistant to support daily office operations while providing administrative and financial support to leadership. This role combines office management, executive support, payroll processing, and bookkeeping assistance.
The ideal candidate is detail-oriented, professional, and comfortable managing multiple responsibilities in a fast-paced environment.
Key Responsibilities
Office Management
- Oversee daily office operations and ensure efficient workflows
- Manage office supplies, vendors, and facility needs
- Maintain organized digital and physical filing systems
- Coordinate internal communications and office procedures
- Assist with employee onboarding and administrative setup
Executive Assistant Support
- Manage executive calendars and schedule meetings
- Prepare reports, presentations, and correspondence
- Coordinate travel arrangements and expense tracking
- Support leadership with project coordination and follow-ups
Payroll Processing
- Process employee payroll accurately and on schedule
- Maintain payroll records including wages, deductions, and benefits
- Ensure compliance with payroll regulations
- Assist with payroll reporting and year-end documentation
Bookkeeping Support
- Assist with accounts payable and receivable
- Record financial transactions in accounting software
- Reconcile bank and credit card statements
- Support the accounting team with financial reporting and month-end tasks
Qualifications
- 3+ years experience in office management, executive assistant, or administrative leadership roles
- Experience processing payroll
- Basic bookkeeping or accounting support experience
- Strong proficiency in Microsoft Office (Excel, Word, Outlook)
- Excellent organizational and multitasking skills
- Strong written and verbal communication
Preferred
- Experience with QuickBooks or other accounting software
- Experience with payroll platforms such as ADP, Gusto, or Paychex
- Business administration or accounting background

Job Type: Full-time
Pay: $28.00 - $33.00 per hour
Expected hours: 20.0 – 40.0 per week
