A boutique professional services firm is seeking a highly organized and adaptable Office Manager & Executive Assistant to oversee daily business functions. This position is ideal for a proactive professional who enjoys being the backbone of a small, dynamic office environment.
Job Duties:

Act as a strategic administrative partner and "right hand" to the CEO, overseeing complex calendar management, travel logistics, and daily priority triaging.

Manage the firm’s master project schedule and long-term "look-ahead" calendars to ensure team alignment and deadline adherence.

Lead daily office operations, including facility management, vendor relations, procurement of supplies, and coordinating on-site maintenance.

Support business development efforts by maintaining the CRM database, tracking active leads, and assisting external consultants with project documentation and social media updates.

Facilitate standard financial operations by managing Accounts Payable and Receivable, processing consultant invoices, and maintaining digital records within the accounting system.

Oversee firm-wide compliance, including the maintenance of professional licenses, certifications, and the firm’s Standard Operating Procedures (SOP) manual.

Assist with the talent lifecycle by screening candidates for technical roles, preparing materials for staff reviews, and coordinating the bi-annual review schedule.

Foster a positive office culture by planning and executing staff celebrations, team lunches, and seasonal company events.

Provide general administrative and project support to the wider technical team as needed to ensure smooth project delivery.
Preferred Qualifications

Minimum of 2+ years in a high-level administrative, operations, or executive support role.

Proficiency in a macOS environment and Microsoft 365; experience with digital project management and cloud-based accounting tools is a significant plus.

Demonstrated ability to work independently, manage multiple shifting priorities, and handle confidential information with high discretion.

A proactive, "hands-on" approach with a strong commitment to supporting a close-knit team.

Some college experience (Associate or Bachelor’s degree preferred).
