Office Manager/patient coordinator

We are seeking a motivated and experienced office manager to oversee daily operations in our private plastic surgery clinic. The ideal candidate will have prior healthcare experience, with preference given to individuals who have worked in office management or administrative leadership roles within a medical setting. This is a hybrid position, you may be required to come into office at least once a week minimum and work remotely the rest of the week. The position will start off as part-time but can extend to full-time hours in the future. Looking for long-term candidates.

Duties

  • Oversee daily office operations and ensure smooth workflow
  • Manage front desk operations, including reception, answering calls, and greeting patients with professionalism and warmth
  • Schedule patient appointments and manage the EHR system efficiently
  • Maintain accurate and up-to-date patient records
  • Coordinate with the billing department to ensure proper ICD/CPT coding and accurate claim submission
  • Coordinate surgical scheduling across affiliated hospitals and prevent scheduling conflicts
  • Supervise bookkeeping and payroll for office staff
  • Ensure compliance with HIPAA and maintain patient confidentiality
  • Support the provider and clinical team with administrative and operational needs

Qualifications

  • Previous healthcare experience required
  • HIPAA certification required (can complete this during onboarding)
  • Experience in medical office management or administrative roles preferred
  • Strong understanding of medical office workflow and operations
  • Familiarity with EHR systems and medical terminology
  • Knowledge of ICD/CPT coding processes
  • Excellent time management and organizational skills
  • Strong multitasking and problem-solving abilities
  • Professional phone etiquette and exceptional patient service skills
  • Ability to respond promptly to emails and patient inquiries
  • Effective communication skills with providers and office personnel
  • High level of discretion, accountability, and leadership

Job Types: Full-time, Part-time

Pay: $20.00 - $30.00 per hour
