Job Overview
We are seeking a motivated, dependable, and bilingual Office Operations Coordinator to join our team full-time, on-site. This is a dynamic role for someone who enjoys variety in their workday and is willing to help wherever needed. As part of a fast-paced 24/7 operation, you will support driver coordination, recruiting efforts, customer communication, and general office operations to help keep the business running smoothly.
The ideal candidate is organized, proactive, enjoys working with people, and can successfully manage multiple responsibilities at once.
Key Responsibilities:
Driver & Logistics Support
- Coordinate and schedule drivers for new and used vehicle transportation assignments
- Dispatch drivers and communicate route, pickup, and delivery information
- Track shipments and monitor delivery progress
- Assist drivers with questions, issues, and operational support
- Communicate delivery updates, delays, and issues to customers
Recruiting & Administrative Support
- Assist with recruiting activities, including candidate outreach, interview scheduling, and onboarding tasks
- Maintain employee and driver records
- Help post job openings and coordinate applicant communications
- Support HR and management with administrative tasks as needed
Office Operations
- Handle inbound and outbound phone calls professionally
- Provide excellent customer service to drivers, customers, and vendors
- Assist with filing, data entry, reporting, and document management
- Support various office projects and special assignments
- Help maintain an organized and efficient office environment
- Perform additional duties as needed to support daily operations
Qualifications
- Ability to work full-time, on-site
- Bilingual in English and Spanish (required)
- Strong communication and interpersonal skills
- Ability to multitask and prioritize responsibilities effectively
- Strong problem-solving and critical-thinking abilities
- Basic computer proficiency
- Experience with Google Docs, Google Sheets, Microsoft Word, and Excel
- Positive attitude with a willingness to learn and help wherever needed
- Ability to work independently and as part of a team
- Strong organizational skills and attention to detail
- Previous dispatching, logistics, recruiting, customer service, or office administration experience is a plus
