Office Operations Manager

Milestone Plumbing, Inc. is a well-established and growing plumbing company serving residential and small commercial clients across Milwaukee, Waukesha, and Ozaukee counties. Since 2011, we’ve built our reputation on strong values, exceptional client service, and a supportive team environment.

We are creating a new, high-impact role and are seeking a highly organized, proactive Office & Operations Manager to serve as the central hub of our daily operations. This is an opportunity to not just fill a role—but to shape it into a critical function that drives efficiency and growth across the business.

What You’ll Do

You’ll play a key role in supporting our clients, field team, and office operations—ensuring consistency, accountability, and efficiency across the company.

Accounting & Financial Support

  • Manage accounts receivable and accounts payable with accuracy and timeliness
  • Perform bank and credit card reconciliations
  • Review and reconcile vendor statements
  • Verify, code, and post invoices and payments in QuickBooks
  • Support financial reporting and assist with higher-level financial responsibilities as needed
  • Resolve discrepancies while maintaining strong vendor and partner relationships

Client Service & Communication

  • Answer incoming calls with professionalism, urgency, and a client-first mindset
  • Schedule appointments and assist with accurate quoting over the phone
  • Ensure all referrals and leads receive timely follow-up
  • Proactively maintain strong relationships with clients and contractors
  • Resolve client concerns and implement improvements to prevent recurrence

Operations & Office Management

  • Maintain an organized, efficient office environment
  • Develop, document, and improve systems, workflows, and procedures
  • Manage scheduling and dispatch coordination, proactively resolving conflicts
  • Serve as the communication bridge between office and field teams
  • Support reporting, data tracking, and performance metrics
  • Collaborate with the warehouse team to strengthen inventory processes
  • Take ownership & lead on projects after bid is approved to make sure all materials are ordered to meet the project's deadlines

  • Highly organized with exceptional attention to detail
  • Strong verbal and written communication skills (this is a must)
  • Customer-service driven with professionalism and follow-through
  • Proactive problem-solver who takes ownership and drives results
  • Comfortable upholding high standards and fostering accountability
  • Team player willing to jump in wherever needed
  • Other duties as assigned

Bonus Points If You Have

  • Experience with ServiceTitan (or similar field service software)
  • Hands-on experience with QuickBooks
  • Bookkeeping, accounting, or financial support background
  • Experience in plumbing, HVAC, or home services

Pay: $65,000.00 - $75,000.00 per year
