Overview:

We’re looking for a Sheridan Operations Manager to lead the daily work across our two Sheridan buildings (which are next door to each other), one focused on mail and processing, the other on filings and operations support. You’ll oversee a team of 8–14 employees, making sure work is completed accurately, efficiently, and with a focus on both quality and client experience.

This is a very active leadership role. You’ll be the go-to expert for how work gets done, training others, answering questions, and helping the team improve. You’ll interview and onboard new hires, build team engagement, and continuously look for ways to simplify and strengthen processes. As the business grows, this position may develop additional leaders and expand in scope.

Minimum Qualifications:

  • Demonstrated ability to lead and develop a team, including interviewing, hiring, onboarding, and coaching employees for growth and performance.
  • Experience managing operations teams where accuracy, efficiency, and client experience are priorities.
  • Proven skill in identifying process gaps, challenging existing workflows, and suggesting practical improvements.
  • Acts with integrity and positivity, building trust through honesty, clear expectations, and follow-through.
  • Hands on and detail oriented, with the ability to learn and teach complex processes confidently.
  • Strong communicator with excellent judgment. Able to listen, give feedback, and make clear, timely decisions.
  • Organized, analytical, and comfortable using tools and data to guide priorities and improvements.
  • Adaptable and steady under pressure, able to lead teams through change while maintaining focus and morale.
  • Proficiency in learning and training others on company systems and tools, including internal software, communications, and document platforms
  • Self-motivated and invested in personal and team development; proactively seeks knowledge, feedback, and resources
  • Takes ownership, drives improvement, and promotes a culture of accountability and high performance.
  • Available to work on-site daily in Sheridan, with visibility and support across both buildings.

Responsibilities:

All functions are essential unless otherwise noted.

  • Lead and manage a team of 8-14 and the daily operations across both Sheridan buildings, ensuring communication, consistency, and quality between the document processing and filing support teams.
  • Serve as the subject matter expert for all work performed, training employees, answering questions, and modeling accuracy and efficiency.
  • Interview, hire, onboard, and coach employees for performance, professional growth, and alignment with company expectations.
  • Use audits, metrics, and data to track productivity, quality, and turnaround times, identifying trends and implementing improvements.
  • Maintain up-to-date knowledge of state regulations, filing requirements, and internal procedures to ensure compliance and accuracy in all work.
  • Identify and challenge inefficient workflows, proposing and implementing practical changes that improve speed and consistency.
  • Serve as a point of escalation for complex filings, document issues, client inquiries, or data integrity concerns, ensuring quick resolution and a positive client experience.
  • Communicate operational updates, needs, and best practices clearly across departments, partnering with automation and operations leaders to strengthen tools and workflows.
  • Interact directly with clients by phone or email as needed to clarify requirements, resolve document-related questions, and coordinate next steps.
  • Support and promote new initiatives, helping teams adapt to new tools, policies, and workflows with clear and positive communication.
  • Audit filings and mail processes regularly to maintain data integrity and identify opportunities for training or process improvement.
  • Foster a positive, accountable team environment built on trust, collaboration, and open communication.
  • Work with the Property and Facilities team to maintain safe, organized, and efficient work spaces across both buildings.
  • Represent Sheridan operations in meetings and discussions, sharing updates, challenges, and recommendations for improvement.

Job Type: Full-time

Pay: From $70,000.00 per year
