Description:


Position Summary: The Office Support Coordinator is responsible for managing the procurement of equipment, services, supplies, and materials to support PSAL programs and office operations. This role delivers high-quality customer service to both the PSAL office and New York City public high schools. The Office Support Coordinator oversees procurement activities that support the implementation of PSAL sports events, championships, and related projects. Additionally, the Coordinator assists with planning and executing PSAL sports events, championships, and related projects which involve different external stakeholders. Performs related work.

Key Relationships: Works closely with Director of Procurement and Human Resources, Office and Operations Manager, PSAL staff including school Athletic Trainings, Coaches and PSAL community at large, NYCPS’ central offices, vendors, and others as assigned.

Responsibilities

  • Collect and prepare information from the community to secure high-quality, cost-effective goods and services for PSAL programs, including uniforms, awards, transportation, and office supplies.
  • Coordinate functions among community organizations leading toward successful rollouts of community-based sports programs and events to benefit NYC residents at large.
  • Support the Senior Executive Director and leadership cabinet with administrative tasks and responsibilities.
  • Assist in developing and executing strategic initiatives and overseeing PSAL interscholastic sport programs.
  • Provide cross-functional support across departments to advance organizational goals and operations.
  • Ensure clear, consistent communication with internal and external stakeholders, including coaches, athletic directors, commissioners, supervisors, and principals, aligned with NYCPS and PSAL standards.
  • Collaborate with the Sports Information Director to create content for social media and related platforms.
  • Coordinate the vendor onboarding process, ensuring completion of documentation and accurate record-keeping.
  • Ensure compliance with NYCPS Standard Operating Procedures and purchasing thresholds; liaise with NYCPS offices on procurement policies and contract management.
  • Prepare, monitor, and certify purchase orders using the Financial Accounting Management Information System (FAMIS) and other tracking systems; ensure sufficient funds are encumbered
  • Work in conjunction with the Division of Financial Operations Accounts Payable unit on purchase orders, certification of delivery of goods and services to ensure that vendors are paid in a timely manner.
  • Maintain databases in Microsoft Office 365 to track open purchase orders, account balances, TRAC, and related data.
  • Receive, inspect, and verify orders; communicate order status to requesters and maintain organized inventory storage and labeling.
  • Maintain accurate documentation to support PSAL certifications and ensure timely follow-up.
  • Provide technical and operational support to PSAL staff related to awards, uniforms, travel, and transportation.
  • Conduct vendor performance evaluations and support compliance through coordination with DCP and vendor services.
  • Serve as lead liaison with the Division of Contracts and Purchasing and compile required documents for contract negotiations.
  • Support contract initiation, vendor communication, drafting, inspections, and policy implementation.
  • Support PSAL Sports Coordinators with event setup, admissions, and logistics.
  • Assist PSAL community in identifying new community-based providers and adding new vendors to the vendor file maintained by the Comptroller’s office.
  • Serve as a resource for central partners' inquiries related to purchasing and other financial transactions.
  • Conduct site visit for venue spaces to support PSAL playoff and championship events.
  • Work with Office and Operations Manager to compile OTPS financial reports to be shared with internal, external partners, and the management team.
  • Support other than official payments and inquiries.
  • Support workflow improvements to enhance operational efficiency.
  • Provide backup to the Office and Operations Manager when the Manager is not available.
  • Develop, maintain, and update an inventory system for existing and new supplies and equipment, including tracking quantities, condition, locations, and replacement needs.
  • Coordinate courier services for transport and deliver materials for special events.
Qualification Requirements:

Minimum

  • A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.

Preferred

  • Knowledge and understanding of the PSAL.
  • Knowledge of public education and/or interest in public education.
  • Familiarity with NYCPS financial systems.
  • Background in working with community-based organizations, vendors and suppliers.
  • Skilled in group problem-solving and working with complex concepts in a dynamic setting.
  • Attentive to detail; highly organized, with a predisposition toward action and production of results.
  • Excellent spoken and written communication skills.
  • Commitment to continuous improvement by actively seeking opportunities to enhance processes, efficiency, and quality.
  • Highly effective time management and prioritization skills.
  • Ability to organize facts and present information in a clear, concise and logical manner, both spoken and written.

Salary: $82,000 - $85,000


(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
