Office Support / Receptionist

Job Overview
We are seeking a dynamic and friendly Office Support / Receptionist to be the welcoming face of our organization. This vital role combines front desk responsibilities, administrative support, and office management to ensure smooth daily operations. The ideal candidate will be energetic, organized, and possess excellent communication skills to handle a variety of tasks efficiently. You will serve as the first point of contact for visitors and callers, manage administrative duties, and support various office functions to foster a productive and positive work environment.

Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Answer multi-line phone systems with professionalism, providing exceptional customer service and directing calls appropriately
  • Manage front desk operations, including scheduling appointments, maintaining visitor logs, and handling incoming correspondence
  • Perform data entry, filing, and document proofreading to maintain accurate records and support office workflows
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks such as document creation and email communication
  • Assist with office management duties including supply inventory, calendar management, and coordinating meetings or events
  • Support bookkeeping tasks using QuickBooks or similar accounting software as needed for billing or expense tracking

Skills

  • Proven experience in office support, clerical work, or administrative roles with strong organizational skills
  • Excellent phone etiquette with experience handling multi-line phone systems and customer support interactions
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Attention to detail for proofreading documents, managing files, and ensuring accuracy in all work
  • Experience in medical or dental receptionist roles is a plus; familiarity with calendar management and personal assistant responsibilities is beneficial
  • Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
