Studio Algae is looking for a responsible administration /accounts manager for the firm's financial accounts and invoices, alongside ensuring the efficient daily operation of the architecture office. This position requires strong organizational skills and financial precision
Your key responsibilities will be to:
- Prepare and distribute client invoices and manage the firm's billing process.
- Track and manage Accounts Receivable (AR) and Accounts Payable (AP).
- Process vendor invoices, staff expense reports, and perform general bookkeeping data entry using accounting software (e.g., QuickBooks, Zoho).
- Serve as the primary contact, manage the front office, schedule meetings/travel, and control office supplies.
- Maintain organized digital and physical filing systems.
- Assist Project Managers with project documentation (contracts, RFPs, submittals) and professional client correspondence.
Required Qualifications
- 2+ years of administrative or bookkeeping experience, with a focus on AR/AP and invoicing, preferably in a design or professional services environment.
- Proficiency in accounting software (e.g., QuickBooks, Zoho) and Microsoft Excel.
- Exceptional organizational, communication, and time management skills.
- Strong attention to financial detail and commitment to confidentiality.
