Job Summary

We are seeking a detail-oriented and organized Office/HR Administrator to provide essential administrative support to our office operations and Human Resources functions. This role serves as the backbone of daily office efficiency and HR administration, acting as the first point of contact for employees and visitors while ensuring smooth HR processes. The ideal candidate is proactive, discreet, and capable of handling confidential information in a fast-paced environment.

Key Responsibilities

  • Office Administration:
  • Manage front desk operations, including greeting visitors, answering phones, and handling incoming/outgoing mail.
  • Order and maintain office supplies, equipment, and vendor relationships.
  • Coordinate office maintenance, facilities requests, and general administrative tasks (e.g., filing, copying, scheduling meetings).
  • Assist with travel arrangements, event planning, and company-wide communications.
  • HR Administration:
  • Maintain accurate and confidential employee records, including personnel files, HR databases, and HRIS systems.
  • Support recruitment efforts by posting job ads, screening resumes, scheduling interviews, and conducting reference checks.
  • Coordinate onboarding for new hires (e.g., preparing paperwork, orientation schedules, and IT setup) and offboarding processes.
  • Assist with payroll preparation, benefits administration, and employee inquiries related to policies, leave, or benefits.
  • Prepare HR documents such as employment contracts, offer letters, and reports.
  • Ensure compliance with labor laws and company policies, including updating internal guidelines as needed.
  • General Support:
  • Respond to employee and external HR-related queries in a timely and professional manner.
  • Participate in HR projects, such as employee engagement initiatives or training coordination.
  • Assist with accounting tasks including AP/AR and purchasing.

Qualifications and Requirements

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
  • 1+ years of experience in office administration, HR support, or a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with ADP software preferred.
  • Knowledge of basic employment laws and HR best practices.
  • Excellent organizational, time-management, and multitasking skills.
  • Exceptional communication and interpersonal abilities, with a focus on confidentiality and discretion.
  • Ability to work independently and collaboratively in a team environment.

Preferred Skills

  • Experience with payroll processing or benefits enrollment.
  • Certification in HR (e.g., SHRM-CP or PHR) is a plus.
  • Familiarity with recruiting tools and applicant tracking systems.

Pay: $22.00 - $32.00 per hour
