Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves providing exceptional customer service, managing schedules, and maintaining efficient office procedures to ensure smooth daily operations. Bilingual skills are a plus, as well as experience with various office software and systems. Responsibilities
- Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks and record keeping
- Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives
- Support office management activities such as supply ordering, mail handling, and record maintenance
- Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette and customer service skills
- Assist with bookkeeping tasks including invoicing, billing, and basic financial record keeping
- Maintain organized files both digitally and physically to facilitate easy retrieval of information
- Support personal assistant duties as needed, including travel arrangements or special project coordination
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Familiarity with QuickBooks or similar accounting software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional communication skills, both verbal and written; bilingual abilities are a plus
- Experience managing multi-line phone systems and providing high-quality customer service
- Attention to detail with proofreading and document editing capabilities
- Ability to handle confidential information discreetly
- Previous experience in medical or dental receptionist roles is advantageous but not required
- Strong time management skills with the ability to multitask efficiently in a fast-paced environment
Pay: $18.00 - $20.00 per hour
