Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and courtesy
- Answer multi-line phone systems promptly, providing excellent customer support and routing calls efficiently
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry and bookkeeping tasks using QuickBooks and other office software to support financial accuracy
- Coordinate calendar management and schedule appointments or meetings for staff members
- Oversee office supply inventory, placing orders as needed to ensure smooth daily operations
- Proofread correspondence, reports, and other documents for accuracy and clarity
- Support general office management duties including filing, photocopying, scanning, and mailing
Qualifications
- Proven clerical or administrative experience in an office setting with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks for bookkeeping and financial recordkeeping
- Excellent computer literacy with the ability to adapt quickly to new software applications
- Strong phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to facilitate communication with diverse clientele
- Demonstrated time management skills with the ability to prioritize tasks effectively
- Personal assistant or office management experience is a plus but not required
- Attention to detail with proofreading skills to ensure error-free documentation
