The on-site Community Administrator works under the general direction of the Main Office Property Management Department. This full-time, Tuesday through Saturday, position involves specific duties with regard to community office procedures such as collecting rent, consistently enforcing the Residency Guidelines and Community Procedures, and promoting effective resident relations. Additional duties include employee supervision and the oversight of on-site maintenance activities. The company-owned home available for the Community Administrator is located in a community for Older Persons and per the Mobilehome Residency Law, no person will be allowed tenancy or residency in the Park who is under eighteen (18) years of age.

RESPONSIBILITIES:

Community Office Management

  • Receive payment for rent and other charges from Community tenants. Accurately account for all payments and assure the deposit of all receipts in the Community bank account. Report all receipts to Main Office.
  • Assure on time receipt of monthly rent. Follow up on late rents and returned checks by communicating with Main Office Property Management Department so that proper late notices can be prepared and legally served. Serve or assure the proper service of legal notices as required.
  • Provide tenant data input to the computer billing service, verify bills and assure the distribution of monthly rent statements to Community tenants.
  • Consistently assure tenant and resident compliance with the Residency Guidelines & Community Procedures while maintaining a high level of professionalism combined with promoting positive resident relations.
  • Meet and greet visitors to the community office and provide them with requested information in accordance with Company policies and procedures.
  • Process mobilehome resales in accordance with Company policies and procedures. Screen Applications for Tenancy of prospective tenants to assure proper application documentation has been received. Forward required Applications for Tenancy and required documentation to Main Office for consideration and review. Communicate with prospective tenants regarding the status of their Application for Tenancy.
  • Carefully maintain and organize online storage of Tenant files and physical files.
  • Provide approved tenants with necessary documentation: Community Lot Lease Agreement, Residency Guidelines & Community Procedures, and applicable laws. Prepare and process Lot Lease documents. Maintain accurate records for all Lot Lease related documentation.
  • Regularly update community Daily Log to accurately record significant community activities and events.
  • Be capable of implementing and/or directing the Community emergency procedures. Be available to respond appropriately to major emergencies that may impact the community. On a regular basis, act in the capacity of waiting to be re-engaged (WRE) and respond appropriately to after hours calls.
  • Purchase and maintain all office supplies and equipment. Issue accurate, complete and legible purchase orders documenting the purchase of office supplies and equipment.
  • Maintain and account for Community petty cash fund. Maintain Community filing system and records in accordance with policies and procedures established by the Main Office and in compliance with applicable law.
  • Maintain and conduct the Community office in an orderly, professional and businesslike manner.
  • Monitor the pool at regular intervals to ensure rules are being followed.

Resident Relations

  • Respond promptly and completely to tenant complaints, problems and inquiries and document tenant interactions in the community Daily Log.
  • As a follow up to various tenant related matters, compose letters to tenants identifying issues and requesting compliance or adherence by a specified timeline.
  • Periodically perform complete walk-around annual inspections of all homesites, report deficiencies to residents, and ensure that corrections are completed in a timely fashion.
  • Inspect the exterior of homes offered for sale and the related homesite, advising residents of deficiencies and ensuring that any known deficiencies are corrected prior to sale.
  • Serve or assure the proper service of legal notices as generated and/or approved by the Main Office.
  • Work cooperatively with all Community resident groups.
  • Assure compliance with all community behavior and conduct standards as referenced in the Residency Guidelines & Community Procedures.
  • Treat information in a confidential manner.

Employee Supervision

  • Supervise, train and promote continued development of office staff.
  • Work closely with and supervise on-site maintenance staff to assure proper maintenance and repairs of all community buildings, equipment, and common areas.
  • Prepare and deliver regular performance feedback and annual performance review process for community employees identifying areas of notable accomplishment as well as areas for development. Complete necessary personnel documentation as required.
  • Regularly review employee timecards and approve employee timecards as submitted.
  • Assure all employees work in a safe and efficient manner. Conduct monthly safety meetings and consistently encourage safe work practices.
  • In all interactions, engage with employees in a cooperative, supportive and professional manner.

Property Management Main Office

  • Report significant maintenance and resident relations problems to Property Management Department for assistance in and concurrence with proposed solutions. Maintain effective ongoing communication with the Property Management Department.
  • Prepare and provide accurate purchase orders for all Community-purchased items and verify that contractors' work is completed.
  • Prepare and provide to Main Office all reports and communications as requested while maintaining effective ongoing communication with the Property Management Department.
  • Serve legal documents at direction of Property Management Department.
  • Cooperate and work closely with Company Superintendent of Maintenance on major maintenance issues.

Oversee Maintenance of Community Facilities and Grounds

  • Working closely with on-site maintenance staff, oversee maintenance and repairs of all community buildings, equipment, and common areas, including swimming pool and spa in accordance with Company standards and applicable laws.
  • Assure that on-site maintenance staff keeps and maintains accurate maintenance records as required. Especially making sure that FMX us up to date and properly maintained. In addition, assure that the pool/spa log and other reports are completed as necessary.
  • Assure meters are read monthly and provide accurate data to ManageAmerica.
  • Maintain community clubhouse in a well-kept and clean condition.
  • Ensure regular maintenance and upkeep of Company-owned home.
  • Be capable of implementing and/or directing the Community emergency procedures.

Perform other duties as required.

General Requirements:

  • High school diploma or the equivalent.
  • Previous experience in apartment or mobilehome community management required.
  • Ability to swiftly respond to emergency situations.
  • Must work well with and effectively relate to community residents.
  • Must work well with all employees and communicate and cooperate effectively with the Main Office.
  • Must be able to read and write in English and communicate effectively, orally and in writing, with residents, visitors, vendors, etc.
  • Possess a valid driver’s license, current personal auto insurance and be able to drive a Company vehicle.
  • Receive satisfactory results from Company conducted background check. Background check includes social security number verification, DMV records, criminal history, past employment verification and credit check.

Physical Requirements:

  • Must be able to do light lifting, bending, stretching, squatting, etc.
  • Frequent, intermittent and/or continual standing and/or navigating throughout the community and around homes.
  • Ability to deliver resident communication notices throughout the community and respond to maintenance emergencies.
  • Ability to occasionally lift, push and/or move up to 25 pounds.
  • Sufficient hand, arm and finger dexterity to operate a computer keyboard and other office equipment.
  • Must have vision necessary to perform prescribed duties.
  • Speaking and hearing ability sufficient to communicate in person or over the telephone.

Job Type: Full-time

Pay: $25.00 - $27.00 per hour
